Office moves fail in the planning, not on the truck. Work backwards from your move-in date and tick these off in order.
Six weeks out
- Nominate one internal move coordinator — one point of contact, not a committee.
- Get a written quote with the inventory agreed: desks, chairs, cabinets, stock, servers.
- Confirm the new lease and access: loading bay booking, lift times, security sign-off.
- Tell your internet provider — fibre installation lead times in Nairobi run 2–4 weeks.
Two weeks out
- Give every staff member two labelled crates: one for desk contents, one for personal items.
- Back up every workstation and server before any cable is unplugged.
- Update your address with KRA, banks, suppliers and on Google Business Profile.
- Book the move for Friday evening or Saturday — Monday should be a normal workday.
Move weekend
- Disconnect IT last, reconnect it first at the new site.
- Walk the old office once, alone, with a checklist — server rooms and storage get forgotten.
- Keep the coordinator's phone free on move day; every decision runs through them.
